Editing an deleting links to files

With lexiCan you can easily insert links to files in an article. Such references can be used to link article text and information in file form and to open files quickly and directly from the article. Files linked to an article in this way are listed in the context area of an article as "file attachments".

Setting links to files

Edit the article in question, place the cursor at the point in the article where the links are to be inserted or select the text passage that is to carry the link. Then click on "File" in the "Insert" function bar. Using the pull-down menu you can then choose between "Existing file" and "New file".

Alternatively you can use the context menu (right mouse button).

a, Existing file

Files can be assigned to any number of articles and references to avoid multiplication in lexiCan. "Existing file" shows you an overview of the last files added to the project. If the file you are looking for is not among them, click on "Browse Project".

lexiCan then offers you in a dialog window all files that have already been added to the project.

After selecting one or more files by holding down the Control key and confirming, lexiCan inserts the desired link (file name), e.g.

b, New file

If you select "New file", lexiCan will show you a list of the last files generally used or created on your computer. If the file you are looking for is not among them, please click on "Browse this PC" to open the Windows file selection dialog box.

After selecting one or several files by holding down the Control key and confirming, lexiCan asks in a dialog window how the new file should be inserted into the project.

The decision at this point depends on the situation at hand. If a file is subject to frequent changes, it is recommended that you only refer to it, as changes can be saved without any problems. If, on the other hand, you want to carry your project with you, e.g. on an external data carrier, only a copy of the file is possible. See the following table for more information about the "Copy or link?" question.

For those cases

  • file will be used exclusively in lexiCan

  • The project should be portable

>> File access secured

  • File access via lexiCan AND Windows Explorer

  • File must often be modified

>> No more access after changing path or file names

Make the right choice for you. Then lexiCan inserts the desired link at the pre-defined position in the article and uses the format template "Link" for formatting, e.g.

Display of the files in the context area

Regardless of whether it is a new file or a file that is already in the knowledge domain, after inserting a link, this corresponding file is then listed in the context area as "file attachment", e.g.

This entry will remain even if the link in the article itself is deleted. To completely remove the article-file connection, use the pull-down menu in the entry. This menu provides you with additional functions for handling the file.

Whether a file has been inserted as a copy or a link to the network is indicated by different file symbols in the entries. The small arrow in the symbol indicates that it is a network link.

Alternative procedures

You can also go the other way round, i.e. you can assign one or more files to an article via the context area and then set the links in the article using drag'n drop, e.g.

You can even skip the first step by dragging and dropping the external file to the right place in the article. The link is set and the respective file is listed in the context area as an "attachment". The exception to this rule are e-mails, see Special Case: E-mails from Outlook or Thunderbird

Editing an deleting links to files

It is not possible to edit existing links to files, i.e. links can only be deleted and reset. To do this, please edit the article in question and click on "Remove link" in the pull-down menu or use the delete key.

To create a new link, see upper section.

Deleting the link to a file in the article does not cause the article-file connection to be completely removed. To do this, you must also remove the file from the context area of the article.
